Gmail privacy notice

Style-Craft operates Style-Craft CRM. This notice explains the Gmail connection used by authorized employees to send reviewed homeowner emails, selected saved estimate documents and crew work orders.

Information we access

When you connect, Google supplies your verified email address and account identifier, plus authorization credentials. These identify your mailbox, bind it to your signed-in CRM user and allow authorized sends without asking for your Gmail password.

The connection requests only Google account identity and Gmail sending permissions. It does not request inbox reading, mail deletion, Google contacts or mailbox synchronization.

How we use and share information

The CRM sends email only after an authorized employee reviews and confirms it. Internal employees can prepare homeowner messages from jobs they may access and select saved estimates or job documents. Office employees and administrators may send crew work orders. Each send uses that employee’s own connected Gmail mailbox and the reviewed recipient, message and documents.

Google processes the send. The intended recipient and their email service receive the message and attachments. A homeowner email or selected estimate may contain the job information, scope and customer prices shown in the reviewed content. Sending does not grant access to the CRM or other job records, or make an estimate accepted, signed or sold. Standard work-order fields do not automatically include customer selling prices, company profit or internal conversations; employees must also review free-text instructions and selected files before sharing.

The CRM’s hosting infrastructure processes and stores this information to operate the service. Access within Style-Craft remains subject to employee and job permissions. The Gmail connection is not used for advertising, model training, inbox monitoring or automatic company-wide emails.

What the CRM saves

The CRM saves your connected address, Google account identifier, connection status and dates, and an encrypted refresh credential. Short-lived access tokens are used on the server and are not saved by this integration.

Saved job emails, work-order revisions and sending history retain the reviewed message and included document copies, sender and recipient addresses, responsible employee, time, attempt details, Google’s message identifier when provided and outcome. Later contact, estimate, crew or connection changes do not rewrite these saved copies.

Retention and disconnection

You can disconnect in Settings → Gmail. This disables further sending immediately and asks Google to revoke authorization. If revocation fails, the CRM shows “Revocation pending,” retains the encrypted credential only so revocation can be retried, and keeps sending disabled. The credential is cleared when disconnection completes.

Disconnecting does not remove saved job emails, estimate attachments, work orders, sending history or connection metadata from CRM records. This integration has no automatic age-based deletion of those records. They remain subject to existing record-access and deletion protections. You may also remove the application’s access in your Google Account settings. Disconnecting does not erase messages already sent, recipient copies, downloaded files or historical backups. Deactivating an employee prevents further CRM sending.

Security

Authorization and sending are handled on the server. Refresh credentials use authenticated encryption, and the client secret and encryption key are held in the hosting service’s server-secret configuration. Credentials are not exposed in ordinary CRM screens. Connecting Gmail does not grant additional CRM permissions.

Google API data use

Style-Craft CRM’s use of information received from Google APIs will comply with the Google API Services User Data Policy, including its Limited Use requirements.
